About the Position:  

This position is responsible for ensuring that all payers’ applications and documents are completed, maintain, and meet strict criteria for the highest standard of excellence. In addition, maintaining the payer documents in Contract Share Point Public/Private, Folders/Files and Paper Folders/Records. In addition, Payer information related in three databases at experience level knowledge the Practice Management System (PMS), Payer Contract Health Plan Solution (CHPS) and My Credential databases. In addition, develops and maintain professional ongoing relationships with all payers and Oncology Consultants staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintains and updates payer, applications, documentation, directories, and necessary documents for implementing or terminating contracts. By performing meticulous, accurate, high quality performance standards in the Practice Management System (PMS), Payer Contract Public and Private Share Point, and payer files.
  • Responsible for maintaining and updates downloads of payer reoccurring reports monthly, quarterly, and annually.
    • Format reports upon requirements and notification applicable staff availity of the payer report.   
    • Request, obtain and maintain records of annual and quarterly Fee Schedules from various contracted payers.  
  • Carries out administrative assigned duties, maintaining and assist related to Payers contracts implementation, participation and terminating status.  
    • Contracting Public and Private Share Point Folders/Files
      • Maintains contracting documents/folders/files/ electronic and paper from various contracted payers.
    • Maintains Payer information in PMS related to payer name, rates, FS, and other administrative PMS duties in relations to payer contracts.
      • Request annual and quarterly Fee Schedules from various contracted payers.  
      • Performs professional communication and follow-up with payers on assigned projects.
    • Responsible for responding to requested documents, surveys, directory information and any audit request regarding Managed Care Contracts from payers.
    • Initial request, follow-up on participation with payers plans/networks and standard information required request for Payers requested by Director.
  • System administrative duties in Practice Management System (PMS) regarding request in Contract Health Plan Solutions (CHPS) databased and payer information. 
  • Assists Payer Liaison Supervisor regarding assistance needed with appropriate level based on knowledge, training cases, and inquiries from departments from the CHPS database.
  • OC physicians and providers for “onboarding” and “offboarding” processes and update documents in Contract Share Point, (Public/Private) and My Credentialing Software Database.
  • Upon Directors requests participate on special payer project, acting liaison between practice and payers.
  • Attend Department meetings as required.
  • Learn and become proficient payer information and databases, processes and polices.
  • Coordinate with Oncology Consultants different departments, as necessary.
  • Ensure our customer services requirements and needs are met at all times by “Doing It Right the First Time.”
  • Communicate and interact effectively and professionally with co-workers, management, patients, payers etc.     
  • Comply with HIPAA, Company Integrity, Compliance Program policies and other applicable company and departmental policies.
  • Maintain complete confidentiality of company business.
  • Maintain communication with management regarding development within areas of assigned responsibilities and perform special projects as required or requested.
  • Have detailed orientated, organizational, and interpersonal skills.

EDUCATION and/or EXPERIENCE:  

High School diploma and would prefer at least 3 years of experience with standard administrative duties, office assistant or administrative duties.  

SOFTWARE EXPERIENCE:

  • Ability to learn or familiar with PC skills Microsoft Suite, Word, Excel, Power Point, Outlook, Database Management.
  • Verbal and written communication skills to interact with all levels of health plan’s personnel.
  • Analytical abilities, planning skills and organization skills.
  • Experience meeting deadlines with multiple simultaneous projects and work well under pressure
  • Team player/people oriented.
