About the Position

The Network and Operations Administrator (NOA) provides leadership and administrative oversight to all support staff. The NOA monitors activities of all clinic operating components to ensure the practice successfully meets its objectives. Guides the management of patient care, staffing, and implementing established policies and procedures. Provides direct oversight with practice network as it relates to payor contacting and the marketing team. Supports retail pharmacy accounting functions working in conjunction with the Director of Finance and Director of Pharmacy. Provides advisement to clinical trials program. The NOA works closely with senior leadership to help plan and implement strategies based on available metrics and analytical tools.

ESSENTIAL DUTIES AND RESPONSIBILITIES.

  • Develops data-driven approaches to solutions to workflow, policies, procedures, and strategic planning
  • Informs senior leadership about current trends, problems, and clinic activities to facilitate policy making
  • Overseeing all aspects of the patient experience from New Patient Registration, Insurance Verification, Authorizations, and the Front desk teams to ensuring patient satisfaction and handling operational problems as they arise
  • Monitors the performance of mid-level management to ensure assigned duties are completed in a timely fashion consistent with practice standards of accuracy and patient care
  • Evaluates and revises procedures to improve patient flow, always seeking more efficient and cost-effective opportunities
  • Ensures clinic compliance with all regulatory agencies governing health care delivery and rules of accrediting bodies. Initiates appropriate changes
  • Oversees and Monitors Payor Contract Performance and Policies in conjunction with Director of Contracting
  • Seeks New Contracting opportunities and enhancement of Value-Based Contracting Opportunities
  • Develops Strategic Contracting/Network Plan to support contracting strategies and support of referring physicians
  • Provides Guidance to Marketing Team in terms of outreach and promotion of practice capabilities and operational objectives
  • Participate as Controller to the Pharmacy Department in conjunction with Director of Finance
  • Participate as an advisor to the Research Department in conjunction with the Director of Research
  • Conducts periodic performance and salary reviews.
  • Participate in Leadership Meetings to ensure communication between Management and Administration
  •  Develop operational plans and budgets for each fiscal year and monitors the progress, reports variation, and offer revisions as necessary.
  • Maintains professional affiliations and enhances professional development to keep current in the latest health care trends and developments.
  • Other tasks as assigned by Management.

ADDITIONAL DUTIES AND RESPONSIBILITIES

  • Lead, develop, and provide oversight of Contracting, Physician Liaisons, and Marketing departments

POSITION RELATIONSHIPS:

  • Supervises clinical support staff: Front Desk, NPID, CVT, and Authorizations

QUALIFICATION REQUIREMENTS:

  • Very detailed-oriented with an ability to perform at a high level of organization
  • Proficient with Microsoft Office programs, including Word, Excel and Outlook
  • Must possess ability to communicate effectively via phone and email with vendors and all team members.
  • Ability to work independently, multi-task, and meet deadlines based on prioritization
  • Ability to maintain discretion and confidentiality at all times
  • Positive, professional appearance and attitude required

REQUIREMENTS AND QUALIFICATIONS:

  • Five years of progressively complex prior experience in medical practice management including broad responsibility for supervision of staff and for operations across multiple functional areas and geographic sites.
  •  Computer proficient.
  • Strong analytical skills. Ability to evaluate workflow and systems, identify opportunities for improvement and develop, implement and monitor action plans
  • Ability to exercise considerable judgment and discretion in establishing and maintaining good working relationships with executives, management staff, and clinical staff.
  • The ability to lead meetings and present information in a clear manner to multiple levels junior staff, senior staff, physicians is essential.
  • Excellent interpersonal skills with the ability to communicate clearly and concisely, both oral and written.
  • Must be able to multi-task in a fast-paced environment.
  • Certification as either a CMPE or FACMPE from MGMA/ACMPE is highly desirable

 

EDUCATION and/or EXPERIENCE:

Master’s Degree in Healthcare Administration, Business Administration, Health Administration or related field and/or seven years of progressive executive leadership experience.

LANGUAGE SKILLS: Strong Verbal and written communication skills
