About the Position

The mission of the Documentation Specialist is to serve our patients, medical staff and other customers through the development and maintenance of effective and efficient health information management systems. The Documentation specialist is to maintain the media and documents by managing the storage, archiving and retrieval of them. Information management is accomplished in a variety of methods including actual documents, HL7 interface, shared Mirth folders, and DICOM images. Must also perform data quality control by reviewing/editing documents prior to them being sent out or archived. Maintains HIPAA standards.

Essential Duties and Responsibilities: 

  • Monitors Mirth folder and HL7 delivery. Notifies Director of any failures 
  • Responsible for centralized production of Radiology Dicom Images and delivery. 
  • Coordinates daily UPS pick-up service.  
  • Management of non-digital documents from all Radiology locations.  
  • Participate in chart audits. 
  • Facilitate legal document requests.  
  • Participates in annual paper chart purges/storage.  
  • Trains staff on essential functions for back-up coverage.  
  • Facilitates new installations and training of CD burn Sepstream software.  
  • Requests outside Imaging studies for comparison.  
  • Carestream database management and data import tolls.  
  • Input Data 
  • Maintain Data Keeping data organized, safe and available. This may involve maintaining paper files, electronic files, or even databases. Inputting, organizing, and retrieving information from the system used. 
  • Manage Documents and perform document control must edit/review documents 
  • Provide Administrative Assistance duties in the form of filing, scanning, faxing, composing correspondences, data entry, preparing mail, and ordering supplies. 
  • File and/or scan all Health Information in patients chart accordingly  
  • Support the medical staff providing accurate, timely and complete documentation of patient care  
  • Store the records in a secure manner, assure confidentiality, and provide access only to those so authorized. 

ADDITIONAL DUTIES AND RESPONSIBILITIES:   

  • Proficient in computer software programs such as, word processors, spreadsheet programs, and database systems 
  • Basic analytical experience 
  • Proficient typing skills 
  • Data organization and storage knowledge

  • Excellent interpersonal skills. 

EDUCATION and/or EXPERIENCE: 

High School/GED 

Office experience preferred  

PHYSICAL DEMANDS: Normal office environment. Requires sitting and standing associated with a normal office environment. Manual dexterity needed for using a calculator and computer keyboard.
